Understanding the Rates Page
What is the Rates Page?
The Rates page is where warehouse pricing structures are managed within Pimento.
Each Rate Card contains the charges that will be applied to clients for services such as storage, goods-in processing, fulfilment, shipping, returns, packaging, and other billable activities.
Rate Cards allow warehouses to maintain different pricing structures for different clients while keeping billing calculations consistent and automated.

The Rates page displays all available Rate Cards within your environment.
For each Rate Card you can see:
Rate Card name

What is a Rate Card?
A Rate Card is a collection of charges that determine how a client will be billed.
A single Rate Card can contain fees for:
Subscription charges
Storage fees
Goods In fees
B2B fulfilment fees
D2C fulfilment fees
Return fees
Packaging charges
Shipping charges
Fuel surcharges
Once a Rate Card is assigned to a client, Pimento uses those pricing rules when calculating invoice values.
Active vs Archived Rate Cards
Active Rate Cards
Active Rate Cards are currently available for use.
They can:
Be assigned to clients
Be edited
Be duplicated
Be used for future billing
Archived Rate Cards
Archived Rate Cards are no longer actively used but remain stored for reference purposes.
Archived Rate Cards:
Preserve historical pricing records
Allow previous invoices to remain accurate
Prevent accidental reuse of outdated pricing structures
Archiving a Rate Card is useful when introducing a new pricing model while keeping previous billing data intact.
Editing a Rate Card
To edit a Rate Card:
Navigate to Finance → Rates
Locate the Rate Card you wish to edit
Open the action menu
Select Edit
You can then update individual sections of the Rate Card, including storage, fulfilment, shipping, packaging, and surcharge fees.
Always ensure pricing changes have been approved before making updates to active Rate Cards.
Duplicating a Rate Card
Duplicating a Rate Card creates an exact copy of an existing pricing structure.
This is useful when:
Creating pricing for a new client
Testing pricing changes
Introducing annual pricing revisions
Creating multiple variations of similar pricing models
Duplicating a Rate Card is often quicker and safer than creating one from scratch.
Important Notes
Rate Cards determine how clients are billed.
Multiple clients can use the same Rate Card.
Archived Rate Cards remain available for historical reference.
Duplicating a Rate Card helps maintain pricing consistency.
FAQs
Can multiple clients use the same Rate Card?
Yes. A single Rate Card can be assigned to multiple clients.
What happens when a Rate Card is archived?
The Rate Card remains available for historical reference but should no longer be used for new pricing agreements.
Can I edit an active Rate Card?
Yes, provided you have the required permissions.
Is it better to duplicate a Rate Card or create a new one?
If the pricing structure is similar, duplicating is usually the faster option.
